Here's how to get started:

Step 1: Add payment milestones to a vendor

  1. In the "Vendors" tab in an event, add a vendor from your contact book or add them manually.

  2. Click on Details > Edit

  3. Scroll to the bottom to "Payment Schedule"

  4. Add the individual payment milestones (eg. the first payment is a 10% deposit, should be paid by bank transfer and the bride is responsible to pay it the next 2 weeks). You can track payments in any currency.

  5. Once all payment milestones are added, click save

Step 2: Track which payments are due this week/month

  1. Click on the "payments" toggle (top left). Here you will see all the upcoming payments across your vendors summarised. You'll be able to see what is coming up this week, this month and what is remaining.

  2. Once a payment has been made, click the "paid" tick-box to keep your tracking up to date.

  3. To see what has already been paid, switch on the toggle "paid" location next to the +Add payment button on the right hand side.

Step 3: Receive email reminders

  • Clients will receive a weekly update email with their upcoming payments (and to-dos)

  • Planners will receive 1 weekly email summarising the payments (and to-dos) across all of their events.

  • If you want to switch these off, you can do so in your settings > notifications. Your client can do the same on their side.

Step 4: Track your budget

  • All payments are automatically updated in the budget sheet

  • You can click on any vendor to open up their information and update a payment, check a document or comment

  • To see how your payments translate into another currency, go to Budget Settings and "Add Additional Currency." You can manually set an FX rate. Use the dropdown in the budget to translate your payments into this currency. This function is particularly helpful for destination weddings, where the wedding maybe happening in Europe (payments in EUR) but the client is based in America (understands USD).
