Setup & Manage Team Permissions

Add planner collaborators to your account, share contacts, templates, tasks within the team

This guide covers how to set-up a "team" of planners in your account, share contacts and set private tasks.

As part of our ongoing mission to support your planning workflows, we’re excited to announce that team collaboration features are now rolling out!

You can now add planner collaborators to your account and share contacts, tasks within the team—with templates coming soon! Whether you’re juggling multiple events or working closely with team members, these new tools are here to make your experience smoother, smarter, and more efficient than ever.

 

Part 1: Invite Team Members to Account & Weddings

  1. Head Planners, navigate to your Account Settings 

  2. Click “Add Team Member” and invite collaborators using their email address

  3. Once added, assign individual team members to the specific weddings you’d like them to support

⚠️ Important Note on Team Member Deletion:

Starting in May 2025, you’ll begin to be charged for each active team member in your account. If there are collaborators you no longer wish to include, now is the time to remove them. Please be aware that deleting a team member will permanently delete their data, including any weddings they’ve created or contributed to.

 

Part 2: Share Contacts with Team Members

In your Contacts section, you’ll see a new filter labeled “Visibility”. This lets you easily view which contacts are:

Head Planners, navigate to your Account Settings 

  1. 🔒 Only Me – visible only to you

  2. 👥 Team – visible to your entire planning team (all planners added to your account)


To share a private contact with your team, select the contact and toggle the visibility from Only Me to Team. The contact will instantly appear in your team members’ contact books.

⚠️ Important Note Team Members are able to make edits to a contact, but not delete them. Only the creator of the contact is able to delete them.

Part 3:  Create Private Team Tasks — Shared Just Between Planners 🎉

You can now assign tasks that are only visible to your internal team – perfect for behind-the-scenes coordination!

In your To-Dos tab, you’ll notice a new Visibility setting called "Planners". 

  1. ✅ The task will be shared with all planners in your account

  2. 🚫 Your clients won’t see these internal tasks
